Kim,
You need a backup mail server (exchanger), preferably on a different
network, that will automatically accept mail whenever your primary
mail exchanger is not available to receive mail. You need to do two
things:
1. Arrange for the backup MX service.
I've used dyndns.com as a backup MX service for several of my
clients. It's not expensive ($30/year). Some ISP's offer this service
for free. Great for you if they do, otherwise you can google for
other options.
2. Configure your DNS in advance of the transition
You need to add the backup exchanger to your zone file with a higher
preference number than your primary mail server. Eg, http://
www.dyndns.com/services/mailhop/howto.html#backmx
Set this up several days (if possible) before changing your mail
server configuration. Once you see that the DNS changes have propagated:
a) change your mail server configuration. Incoming mail will be
directed to the backup MX rather than getting bounced back to the
sender.
b) test your mail server configuration to ensure that it works as
expected. This is important.
c) update the DNS zone file again with the new IP for your mail
server. The backup MX will (eventually) pick up the changes from its
own DNS queries and forward the stored messages to your server for
final delivery.
Testing is important. If your mail server is broken when the backup
MX delivers the stored mail, mail could get rejected and bounced to
the senders.
